Refund Policy

This Refund Policy explains how CloverForge handles refunds, cancellations, deposits, milestone payments, and project-related fees for software development, website development, consulting, and related digital services.

1. General Policy

CloverForge provides custom digital services that require time, planning, technical expertise, and project allocation.

Because services are customized for each client, refunds are available only in limited circumstances described in this Policy.

2. Discovery, Consultation, and Strategy Services

Fees paid for consultations, strategy sessions, planning workshops, technical audits, discovery sessions, research, architecture reviews, or advisory services are non-refundable once the service has been delivered.

3. Project Deposits and Advance Payments

Deposits, retainers, and advance payments are used to reserve project capacity and allocate resources.

Unless otherwise agreed in writing, project deposits are non-refundable once a project has been scheduled or work has commenced.

4. Milestone-Based Projects

Projects may be billed using milestone payments.

Payments for completed milestones are non-refundable once the milestone has been delivered, approved, or made available to the client.

Refund requests related to future, unstarted milestones may be reviewed on a case-by-case basis.

5. Client Cancellation

Clients may request cancellation of a project at any time.

If cancellation occurs after work has started, CloverForge reserves the right to retain payment for completed work, work in progress, time spent, and resources committed up to the cancellation date.

Any remaining unpaid work completed before cancellation shall remain payable.

6. Project Abandonment

If a client becomes unresponsive for thirty (30) consecutive days or fails to provide required information, approvals, or feedback, CloverForge may classify the project as abandoned.

Payments already made remain non-refundable.

Resuming an abandoned project may require a revised timeline, updated pricing, or a new agreement.

7. Eligibility for Partial Refunds

Partial refunds may be considered only in limited circumstances.

  • Duplicate payments
  • Accidental overpayments
  • Billing errors
  • Work has not started and project resources have not been allocated
  • A written agreement specifically provides for a refund

Approved refunds are issued solely at CloverForge's reasonable discretion and may be reduced to account for planning, administrative, and project preparation costs.

8. No Refunds for Completed Deliverables

Refunds are not available for completed websites, applications, software modules, design assets, source code, documentation, integrations, deployments, or other digital deliverables once they have been delivered, transferred, deployed, published, or otherwise made available to the client.

9. Third-Party Costs

Fees paid for third-party products or services are non-refundable once incurred.

  • Domain registrations
  • Hosting services
  • Cloud infrastructure
  • Paid APIs
  • Software licenses
  • Plugins and extensions
  • Payment gateway fees
  • Other third-party services

10. Chargebacks and Payment Disputes

Clients agree to contact CloverForge before initiating chargebacks or payment disputes.

Where services have been provided or work has been performed, CloverForge reserves the right to dispute chargebacks using project records, communications, invoices, contracts, and proof of delivery.

11. Custom Agreements

If a signed proposal, contract, statement of work, or client agreement contains specific cancellation or refund terms, those terms shall take precedence over this Refund Policy.

12. Refund Review Requests

Refund review requests must be submitted in writing and include sufficient information regarding the payment, project, and reason for the request.

CloverForge will review requests in good faith and respond within a reasonable timeframe.
